Event Staff

Rentals Director

The rentals director is responsible for rental events hosted at the Rochester Art Center and is the primary contact from placing a hold on a requested date to assisting clients, as needed, throughout the rental process. 

Responsibilities

  • Meet with all potential clients.
  • Provide information regarding spaces, date availability, pre-approved caterers, and rental fees.
  • Discuss the client contract and rental process.
  • Place holds and confirmations.

Event Director

The event director assumes the primary responsibility for the set-up and execution of rental events.

Responsibilities

  • Receive floor plan and handle equipment needs.
  • Follow up for and respond to client’s vendors (decorators, caterers, florists, etc.) as needed.
  • Schedule music/DJ setup, rehearsals, and photo sessions.
  • Oversee the event liaison.

Event Receptionist

The event receptionist is the liaison between the public and the Art Center and is responsible for handling the visitor service information desk. 

Responsibilities

  • Provide a professional and welcoming environment for clients, vendors, and guests.
  • Orient, assist, and acquaint clients, vendors, and guests to the Art Center.
  • Provide information and direct guests to their event area.
  • Allow access only for authorized personnel and event guests.
  • Monitor vendor move in and out.

Event Liaison

The event liaison assists clients, guests, caterers, and other vendors with facility, setup, sound system, and other needs during the event.

Responsibilities

  • Provide a professional and welcoming environment for clients, vendors, and guests.
  • Serve as the primary contact for clients and caterers during the event.
  • Assist with client setup and sound system.
  • Enforce policies such as no outside food or beverages, no children above the main floor without an adult, etc.
  • Maintain the security of the facility and crowd control and safety.
